Cherri Health Consultancy (referred to as “CHC”, “Cherri Health”, “I”, “us” or “we”) provides services to individuals, teams and organisations (referred to as “the client”, “clients” or “you/your”) is committed to protecting your privacy. This policy only applies to data collected by Cherri Health Consultancy’s staff, and through our own forms and website. Third party agents, and websites which are linked to ours, are not covered by this policy. When you request services with Cherri Health Consultancy, or otherwise provide your personal details to us, you are agreeing to our processing of your data under the terms of this policy.

What information do we collect?

  • Requests for services featured on the CHC website
    Registering with us to request access to our services can be done via our website, by email, on paper, or by telephone. Our request process involves providing us with your name, address, work address, telephone numbers, personal email and work email. We may also request information on your availability e.g. for meetings, relevant professional, workplace or therapeutic issues, and other details which we deem required for processing your request for CHC’s services.
  • Initial contacts to consider the service you require from CHC
    During initial contacts with you we ask about your current professional circumstances. We may also ask about personal circumstances affecting you. This information helps inform us to decide what we can offer you, and to manage the service we provide for you. The format of CHC’s service delivery can be discussed during the initial contacts. Formats may include online consultations using online platforms such as Microsoft Teams, telephone consultations or delivering services in the client’s workplace premises ‘face-to-face’.
    Following the initial contacts a quote via invoice for fees will be emailed to the client for consideration. Invoices can alternatively be posted upon request to the client’s home address where appropriate.
  • Contact details
    The information you provide us with on our forms (including all enquiry and application forms) may include your name, postal address, personal or work email address, phone numbers and other messages from you to us.
    CHC will store summaries of meetings and discussions with clients to enable us to report on progress with service delivery or outcomes of service delivery where applicable. Summaries will be a point of reference to inform future meetings with clients, and will be used to review the scope of and development of the services CHC offers.
  • Feedback and testimonials
    We value your feedback and testimonials to assist us to improve our services. These may be displayed on the CHC website to help develop our services. If you prefer any feedback or testimonials you provide CHC with to be anonymised you must request this at the point of provision of these to CHC.

What do we use your information for?

We use information held about you in the following ways:

  • To provide clients with the consultancy services requested from us.
  • To enable us to offer appropriate opportunities and support to our consultancy including receptionists or administrative personnel.
  • To improve our service to ensure that it is provided in the most effective manner for you and for us.
  • To administer our services, including the scheduling of delivering services, for financial control, data analysis, research, statistical and survey purposes.
  • To keep in touch with those who consent to this, for the purposes of organisational, service and professional development.
  • To notify clients about changes to our services.
  • To fulfil our administrative, legal and contractual obligations.
  • We may also monitor or record any communications with clients including telephone calls. We’ll use monitoring and recordings to check your instructions to us, to analyse, assess and improve our services and for training and quality purposes.

What information do we share?

We will not share any information about you with other organisations or people, except in the following situations:

  • You have consented to this, for example by providing information to us after we’ve told you that we will supply the information to a third party.
  • It is as part of our duty to protect a child, a vulnerable adult, yourself or the public.
  • We are required to do so by any court or law or any relevant regulatory authority.
  • It is necessary to provide your employee details for our payment management process.
  • When you make a payment to us, we may use a third-party processor to manage the process and direct debit payments, where applicable.
  • As part of the backups of encrypted data processed and held by professional IT security companies.

How do we keep your information safe?

Any personal data provided by you to CHC through any means (verbal, written, in electronic form, by your use of our website) will be held and processed in accordance with the data protection principles set out in the Data Protection Act 1998 and the General Data Protection Regulation for the purposes for which you have given consent, to provide the services you have requested from us, and to meet the legitimate interests of Cherri Health Consultancy.

All paper forms and correspondence are kept in locked filing cabinets on our premises. All electronic records are stored securely using password-protection and all access is by password-protected authentication, or by our IT service provider.

Whilst we will do our best to protect your information using industry-standard protocols and encryption we cannot guarantee the security of your data transmitted to us via email, including forms completed on our website which are transmitted by email; any transmission is at your own risk.

Your rights

You have the right to ask us to provide a copy of the information held by us in our records. You also have the right to require us to correct any inaccuracies in your information. If you would like to do this, please contact CHC using our email: enquiries@cherrihealth.com.

You may withdraw your consent for us to hold and process your data at any time. However, if you do this while actively receiving services with CHC the provision of CHC’s services to you would be terminated immediately. We do not use cookies to collect any personal information on our website presently, nor do we share your browsing behaviour with any third party.

Changes to this policy

We may edit this policy from time to time with no notice. If we make any substantial changes we will notify you via the CHC website.

These links are provided for clients’ convenience to provide further information. They do not signify that we endorse the other websites, or guarantee the effectiveness of other parties’ services or products featured on our website. We have no responsibility for the content or effect of the other websites, other parties’ services or products on clients.

Cherri Health Consultancy’s website contains material which is owned by Cherri Health Consultancy. This material includes, but is not limited to, the design, layout, look, appearance and graphics. Reproduction is prohibited.

This contract is governed by the law of England whose courts have exclusive jurisdiction in relation to any dispute, disagreement, proceedings or legal claim of any nature relating to the service provided or the contract.
